If you contact us via the contact form on our website or via email or telephone

If you contact us via the contact form on our website, by email, post, or telephone, we will process your contact details and the content of your message or question for the sole purpose of responding to your message or question and, in that sense, fulfilling our commitment to you. We will not retain your data for longer than three months and will only use it to respond to your message.

When you become a customer at Firsthour

When you become a customer, we process your personal data (such as your surname, first name, email address, postal address, etc.), payment and billing details, file data (quotes, contracts, correspondence, etc.) and any other data you voluntarily provide to us. We use this data to provide our services and to process payments and invoicing, with the legal basis being the performance of a contract you have requested or the provision of the services you have requested. We retain this data for up to 10 years after final delivery for the sake of continuity of our services and in view of the contractor’s ten-year liability. We retain your billing data for legal reasons for 10 years from the calendar year following the invoice date.

Processing of supplier data and contractors/auxiliary persons

If you are a supplier or contractor, we process your supplier and contractor data. This usually includes your company details, contact details of your relevant employees, financial and billing details. This data is provided to us by you as a supplier and processed in the context of the performance of our agreement. We retain this data in accordance with our accounting obligations for a period of 10 years.

Quotes and testimonials from customers

If you give us permission, we will process your data to post “what our customers think” quotes or testimonials on our website. For this purpose, we will use your first name, last name, job title, quote, and photo. This data may be posted on our website and on our social media channels such as Facebook, LinkedIn, and Instagram. You can request us to remove this data from our website and channels at any time.

Bezoekers beurzen

Bij inschrijvingen aan events en onze beurzen verwerken we je contactgegevens, taalvoorkeuren en telefoonnummer. Als je op onze beurzen of events je gegevens laat scannen of zelf inscant, verwerken we eveneens je contactgegevens. Deze gegevens worden niet gedeeld met derden. Deze gegevens worden voor een periode van 6 maanden bewaard. We gebruiken deze gegevens niet voor reclamedoeleinden, tenzij je hiervoor expliciet toestemming hebt gegeven.

When you apply for a job at Firsthour

If you apply for a vacancy that we offer via our website, by email, by telephone, or via another job site, we will process your personal and application data for the purpose of managing the application process.

If you contact our customer care

We may also process your personal data in the context of our customer care. This is the case, for example, if you send us complaints or compliments via our website, by email, letter, or telephone, or if we conduct customer satisfaction surveys.

In such cases, depending on the specific situation, we will process your name, title, email address, telephone number, the content of your complaint or compliment, and your address details. The data we process in this context may vary depending on the situation, but we always ensure that we do not process more data than is strictly necessary in each specific situation.

The personal data you share with us in this context is obtained directly from you and is used exclusively for the purpose of handling your complaint or compliment or in the context of our customer satisfaction efforts, based on our legitimate interest in working to achieve customer satisfaction and quality of service.

After handling your complaint or compliment, or after processing your responses to our customer satisfaction surveys, we will retain your data for a further year.

Our social media and online marketing

FirstHour.ai also uses social media accounts, of course. You can find us on Facebook, Instagram, Messenger, LinkedIn, and Google, for example. When you visit our social media channels, it is important to know that you are sharing personal data with the company that owns the social media platform in question. This happens outside of our control and responsibility. When you interact with us on our social media channels, you also share personal data with us. You do so on your own initiative, and we have a legitimate interest in processing this data in the context of our contact with you. Exactly which data we process depends entirely on you. FirstHour.ai may appoint external processors to provide specific services. These service providers will process data on our behalf and on our instructions (in their capacity as processors). These are the service providers we use for our general administration, IT, and accounting. An up-to-date list of the external processors with whom personal data is shared is available on request via info@firsthour.ai.

FirstHour.ai will carefully select processors in accordance with applicable data protection legislation. In addition, FirstHour.ai will ensure that processing is carried out in accordance with the provisions of any written contract and with legal regulations in the field of data processing.

We always try to make maximum use of European suppliers, but if we have to call on non-European third parties, we ensure that your data is just as secure outside Europe as it is here in Europe. Where necessary, we conclude Standard Contractual Clauses with these partners and provide additional safeguards.

In rare cases, we may be required to disclose personal data pursuant to a court order or to comply with other mandatory laws or regulations. We will endeavor to inform you in advance to the best of our ability, unless this is not possible for legal reasons.
